About The Well Summit
The Well Summit is an interdenominational ministry that invites women into whole-person discipleship in community. It began as an informal ministry 14 years ago and became a registered nonprofit in 2024.
Women find us through three experiences
Base Camp
A day-and-a-half gathering hosted by a local church, often a woman’s first taste of The Well Summit.
Outpost
Twelve weeks led by Camp Well alumni in their own communities, with practices before and after a three-day retreat.
Camp Well
Our signature experience, centered on a four-day retreat in the Ozarks marked by rest, space, and hospitality.
We’re a small, close team, and the person in this role will shape how the ministry runs for years to come.
The Work
What you’ll do
You’ll keep projects, deadlines, and details on track across five areas of the ministry. Here’s roughly how a typical 20-hour week breaks down. Events take more of your time in the weeks around a retreat.

Events
- Coordinate logistics for Camp Well, Reflect & Refocus, Base Camp, and Outpost, including venues, registration, rooming lists, supplies, travel, and timelines
- Serve as the main contact for attendees, hosts, and volunteers before and during each event
- Track event spending against the budget and gather feedback afterward so the next one is better
Operations & project tracking
- Turn plans into timelines, tasks, and reminders in Monday.com, keep them current, and flag anything at risk early (including the annual compliance calendar)
- Keep Google Drive organized and write simple checklists and how-to guides so the work doesn’t live in one person’s head
- Manage event supplies, merchandise, and the storage unit, including merch shipping and supply orders
Founder & team support
- Manage the Founder’s calendar and help sort and draft email
- Schedule team meetings, take notes, and follow up on action items
- Send clear, timely updates so the team always knows what’s next
Board, finance & HR paperwork
- Help prepare board packets, reports, and minutes, and track follow-through on board decisions
- Collect receipts, invoices, and vendor paperwork for our contract bookkeeper, and pull numbers together for budget reports
- Keep onboarding paperwork, W-9s, personnel files, and annual board signature forms complete and organized
Donor & marketing support
- Keep donor and alumni records accurate in Givebutter and help send timely thank-yous
- Handle the logistics for giving campaigns and donor gatherings
- Schedule emails and web updates and coordinate with our social media and content helpers
Every day · AI at The Well Summit
We’re using Claude, an AI tool, to create an operations system, and this role sits at the center of it. Claude is your everyday partner for running operations and building the systems that help a small team do more of the human, relational work.
- Run the day-to-day with Claude: draft emails and attendee updates, turn meeting notes into action items, summarize feedback, and prepare board and budget reports
- Build reusable tools: create Claude prompts, templates, and checklists for recurring work like event timelines, rooming lists, thank-you notes, and weekly updates
- Automate what repeats: once a task has been done by hand a few times, help us connect Claude with Monday.com, Google Workspace, and Givebutter so it runs with less manual effort
- Keep improving: document what you build so the team can reuse it, and tell us when something isn’t working so we can fix it together
You don’t need to be an expert. We’re looking for someone who is comfortable using Claude and eager to keep learning, and we’ll grow alongside you.

We hold clear boundaries about what operational intelligence can and cannot do here. This is not fear. It is discernment. The work of The Well Summit is deeply human and Spirit-led. We will never automate what belongs to God and to people.

- Owning the budget, making final financial decisions, or keeping the books (our bookkeeper and Treasurer handle these)
- Making fundraising asks, setting strategy, or shaping teaching and program content (the Founder leads these)

Experience that helps
- 2+ years in operations, project coordination, administration, or event planning (ministry or nonprofit experience is a plus)
- Experience planning retreats, conferences, or other multi-day events
- Comfort with Google Workspace, Monday.com or a similar project tool, and Givebutter or a similar donor platform, plus QuickBooks basics like receipts and categories
- Discretion with confidential information about donors, finances, and people

Your First 90 Days
What success looks like
- 30DaysYou know the team, tools, and calendar, you have a weekly check-in with the Founder, and you’re helping the team prepare for Reflect & Refocus in February.
- 60DaysYou own the Founder’s calendar and inbox triage, the Monday.com boards and compliance calendar are current, and you’ve prepared your first board report.
- 90DaysShared Drive folders are organized, you’re leading logistics for spring Outpost groups and the Camp Well planning timeline with clear budgets, and you’ve built at least one Claude tool that saves the team time.
The Details
Schedule & pay
Schedule
20 guaranteed hours a week, paid in full even in quiet weeks. Hours are mostly flexible weekdays, and event weeks, including Camp Well in October, run longer.
Pay
$26,000 a year ($25 an hour) through payroll. Every hour past 20 in a busy event week is paid, and any week over 40 hours is paid at overtime.
Travel
Occasional regional travel for events, with expenses reimbursed.
Background check
Required before your start date through Transparent Info Services, since this role works with attendees and volunteers.
